Move Fast. Build Bold.

How We Work

Here Is How We Run a Project.

Finished stands are easy to show. What matters is whether it's ready, matches the approved design, and who's accountable when something goes wrong.

The 13 Stages

Every project moves through the same 13 stages — skipping one is usually where projects go wrong.

01

Requirement

We talk through the exhibition, the objective, the audience, and any constraints on space, timeline, or budget.

What Velstova Handles
Intake call and written brief summary.
What You Provide
Event name, dates, venue, stand size if known.
What's Checked
That the objective is specific enough to design against.
What You Receive
A written brief confirming what we understood.
02

Analysis

We review venue rules, hall layout, footfall patterns, and any organiser restrictions that shape the design.

What Velstova Handles
Venue guideline review and floor-plan analysis.
What You Provide
Organiser manual, floor plan, stand position.
What's Checked
Height, rigging, and electrical limits.
What You Receive
A short constraints summary before design starts.
03

Concept

We develop the spatial idea — zoning, circulation, sightlines — before any 3D work begins.

What Velstova Handles
Zoning diagrams and a written design rationale.
What You Provide
Feedback on direction, brand guidelines.
What's Checked
That the concept actually solves the brief.
What You Receive
A concept presentation, not yet a finished render.
04

3D Design

The concept becomes a full 3D design — structure, materials, branding, lighting, every surface.

What Velstova Handles
3D visualisation and material specification.
What You Provide
Brand assets, product specs, must-includes.
What's Checked
Buildability within budget and timeline.
What You Receive
3D renders and a materials list for approval.
05

Approval

You review the design against the brief and sign off, or request scoped revisions.

What Velstova Handles
A structured review and one revision round.
What You Provide
Written approval or specific change requests.
What's Checked
That the brief is fully addressed before production.
What You Receive
A final approved design — the build reference.
06

Proposal

Based on the approved design, we scope what's included, what it costs, and the timeline.

What Velstova Handles
An itemised proposal tied to the design.
What You Provide
Budget confirmation, scope adjustments.
What's Checked
That the proposal exactly matches the design.
What You Receive
A written proposal and production timeline.
07

Production Planning

We turn the approved design into a build plan — materials, vendors, a day-by-day schedule.

What Velstova Handles
Procurement and fabrication scheduling.
What You Provide
Final confirmations — dimensions, artwork.
What's Checked
That every material has time to hit the install date.
What You Receive
A production schedule with key milestones.
08

Fabrication

The stand is built — structure, panels, signage, furniture — against the approved drawings.

What Velstova Handles
Production and in-progress quality checks.
What You Provide
Fast turnaround on any final queries.
What's Checked
Dimensional accuracy and finish quality.
What You Receive
Progress updates at agreed checkpoints.
09

Transportation

The completed stand is packed and moved, timed to the venue's move-in schedule.

What Velstova Handles
Packing and logistics coordination.
What You Provide
Venue access documentation if needed.
What's Checked
That everything loaded matches the checklist.
What You Receive
Confirmation of dispatch and arrival.
10

Installation

The stand is assembled on-site — structure, branding, lighting, electrical, displays.

What Velstova Handles
On-site assembly and electrical connection.
What You Provide
Display product, an on-site contact.
What's Checked
Structural stability and electrical safety.
What You Receive
A completed stand, ready for inspection.
11

Inspection

Before the hall opens, we walk the stand against the approved design and a checklist.

What Velstova Handles
A structured pre-opening inspection.
What You Provide
A joint walkthrough, if you'd like one.
What's Checked
Every item on the pre-opening checklist.
What You Receive
Sign-off before visitors arrive.
12

Exhibition Execution

During the show, we're available for on-ground fixes and coordination as needed.

What Velstova Handles
On-ground or on-call support.
What You Provide
Your team running the stand.
What's Checked
That nothing loosens, dims, or breaks mid-show.
What You Receive
A stand that keeps working, every day.
13

Dismantling

Once the show closes, the stand is dismantled and cleared within the move-out window.

What Velstova Handles
Dismantling and venue clearance.
What You Provide
A note on anything you want retained.
What's Checked
That the venue meets move-out requirements.
What You Receive
Confirmation of clearance.

Quality Control

Checked at six separate points, not just once at the end.

Pre-Production

  • Design and drawings match
  • Materials confirmed against finishes
  • Schedule locked to the install date

Production

  • Dimensional accuracy at each stage
  • Finish quality checked against samples
  • Structural joints inspected

Pre-Dispatch

  • Trial assembly where feasible
  • Every component checked off
  • Packing verified for transit

On-Site Supervision

  • Installation matched to design
  • Electrical and structural safety checked
  • Deviations flagged and resolved

Pre-Opening

  • Full walkthrough completed
  • Branding and lighting confirmed
  • Organiser compliance verified

Final Handover

  • Client walkthrough and sign-off
  • Punch-list items closed out

What Determines Exhibition Stall Cost?

No single rate holds across projects — these are the variables that move the budget.

Stall Size

More footprint means more structure, material, and labour.

Design Complexity

Multi-level and curved forms cost more than flat panels.

Structure Type

Custom-built prices differently than modular or shell-scheme.

Materials

Laminates, acrylic, metal, and specialty finishes vary in cost.

Printing & Graphics

Format and branded surface area affect cost.

Furniture

Rental vs custom-built, and how much is needed.

Lighting

Standard fixtures vs feature and accent lighting.

AV Requirements

Screens and demo equipment add cost and complexity.

Product Displays

Custom plinths or counters built to fit the product.

Transport

Distance to venue and volume of material shipped.

Installation

Labour, timeline, and venue access constraints.

Venue Requirements

Organiser rules on rigging, height, and safety.

Timeline

Compressed windows increase labour and logistics cost.

Location

Local vs multi-city travel and logistics.

Special Fabrication

Anything outside standard build methods.

No fixed pricing — share your brief and we'll scope a proposal to what you need.

When Should You Start?

Every stage depends on the one before it — a delayed approval pushes production, then installation. The sequence is fixed even if the timeline isn't.

  1. 01 Brief
  2. 02 Concept
  3. 03 Design
  4. 04 Approval
  5. 05 Production
  6. 06 Logistics
  7. 07 Installation

More lead time means more room to get the design right. Start late, and the schedule — not the design — becomes the constraint.
